SailPoint Event Privacy Notice

SailPoint Technologies, Inc. (“SailPoint,” “us,” “we,” or “our”) respects your right to privacy. This Privacy Notice explains who we are, how we collect, share and use personal information about you, and how you can exercise your privacy rights. This Privacy Notice is in addition to our Privacy Statement located on SailPoint’s website, and applies to personal information that we collect through event-related websites, registration platforms, onsite technologies, and other channels used in connection with SailPoint-hosted or SailPoint-sponsored sales, marketing, customer, or similar events (each, an “Event”), and to any other personal information that we may collect from or about you in connection with such Events.

What does SailPoint do?
SailPoint is a provider of enterprise software, applications, and services, headquartered in the United States. For more information about SailPoint please see the “About” section of the SailPoint website at https://www.SailPoint.com/company/.
What personal information does SailPoint collect and why?
Personal information we may collect about you broadly falls into the following categories:
- Information that you provide voluntarily
- When you interact with an Event or an Event Website, certain parts of the Event Website may ask you to provide personal information voluntarily. In particular, we will ask you to provide your contact details, including your name, company information, title, email address, and country of residence, and additional information such as your goals for attendance in connection with registering for or participating in an Event.
You may also choose to provide personal information to us as part of your interactions or attendance at an Event, including during sessions, meetings, surveys, networking activities, or other event-related engagements.
- Information that we collect automatically
When you visit an Event Website or use Event-related digital platforms, certain information may be collected automatically from your device, such as your IP address, device type, unique device identification numbers, browser-type, broad geographic location (e.g. country or city-level location) and other technical information. We may also collect information about how your device has interacted with the Event Website or Event technologies, including the pages accessed and links clicked. This information may be considered personal information under applicable data protection laws.
Collecting this information enables us to better understand Event participants, where they come from and what content associated with the Event is useful to them. We may use this information for our internal analytics purposes and to improve the quality and relevance of future Events and Event-related materials.
Some of this information may be collected using cookies and similar tracking technology, as explained further under the heading “Cookies and Similar Tracking Technologies” below.
- Information that we obtain from third party sources
From time to time, we may receive personal information about you from third party sources who confirm they received your consent to obtain your information and share it with us, or who are otherwise legally permitted to do so. This includes SailPoint’s vendors supporting an Event, as well as Event sponsors or exhibitors you engage with.
Depending on the Event, this may include our event management or registration vendors, such as event management platforms used for registration, check-in, badge issuance, session tracking, or Event communications. When you register for, attend, or participate in an Event using an event management platform, that platform may collect and share certain information with us, as well as with Event sponsors or exhibitors, including:
- Browser and device information
- Operating system
- Device type
- System and performance information
- App usage data
- Information collected through cookies
- Pixel tags and other technologies
- General geographic location
- Anything else you share during the registration process or your attendance to the Event (e.g., photos you upload or messages you send using the Event registration platform).
- Sensitive Personal Information
In connection with certain Events, SailPoint may collect personal information that is classified as "sensitive," "special category," or similarly protected under applicable data protection laws. This may include, but is not limited to:
- Dietary requirements: such as food allergies or dietary restrictions provided for catering or meal planning purposes, which may reveal information about your health conditions or religious beliefs, and
- Accessibility and accommodation requests: such as requests for mobility assistance, sign language interpretation, or other accommodations, which may reveal information about a disability or health condition.
SailPoint collects sensitive personal information solely for the purpose of fulfilling the specific request or accommodation to which it relates, or as otherwise disclosed at the time of collection. SailPoint will not use sensitive personal information for purposes unrelated to the original purpose of collection without first obtaining your explicit consent or as otherwise permitted under applicable data protection laws.
How does SailPoint use personal information?
We will use the personal information we collect from you solely for the purposes described in this Privacy Notice or for purposes that we communicated to you at the time of collection, such as facilitating your registration and participation in an Event, managing event logistics, and improving the overall event experience. This may also include sending you Event-related updates, surveys, or post-Event materials.
Additionally, we may use your information for direct marketing purposes where you have provided your consent, or where such use is otherwise permitted under applicable data protection laws.
Who does SailPoint share my personal information with?
We may disclose your personal information to the following categories of recipients:
- Our group companies, affiliates, third party service providers and partners who provide data processing services to us (for example, to support the delivery of, provide functionality on, or help to enhance the performance or security of Events), or who otherwise process personal information for purposes that are described in this Privacy Notice or otherwise notified to you when we collect your personal information.
- Any competent law enforcement body, regulatory, government agency, court or other third party where we believe disclosure is necessary (i) as a matter of applicable law or regulation, (ii) to exercise, establish or defend our legal rights and property, or (iii) to protect your rights, property or safety or those of any other person,
- A potential buyer (and its agents and advisers) in connection with any proposed purchase, merger, or acquisition of assets or any part of our business,
- Event exhibitors or sponsors, where you have consented (including via badge scanning or similar mechanisms); and
- Any other person with your consent to the disclosure.
Each Event may involve specific websites, locations, dates, vendors, registration platforms, sponsors, and exhibitors. Details regarding these items, including the identity of any event management or registration platform provider and links to applicable third-party privacy notices, will be made available through the Event registration page, Event Website, or onsite Event materials.
Event vendors are contractually restricted to limit their processing of your personal information pursuant to their agreements with us.
A list of Event sponsors and exhibitors, where applicable, will be identified through Event materials, onsite signage, or the Event Website. If you have questions about the vendors, sponsors, or exhibitors associated with a particular Event, please contact us at privacy@sailpoint.com.
Legal Basis for Processing Personal Information
Our legal basis for collecting and using the personal information described above depends on the personal information concerned and the specific context in which we collect it.
However, we will normally collect personal information from you only where we have your consent to do so (e.g., when consent is required for sending you marketing communications), where we need the personal information to perform a contract with you (e.g., managing your event participation), or where the processing is in our legitimate interests and not overridden by your data protection interests or fundamental rights and freedoms (e.g., analyzing event performance). In some cases, we may also have a legal obligation to collect personal information from you or may otherwise need your personal information to protect your vital interests or those of another person.
If we ask you to provide personal information to fulfil a contract with you or comply with a legal obligation, we will make this clear at the relevant time and advise you whether the provision of your personal information is mandatory or not (as well as of the possible consequences if you do not provide your personal information). For example, while certain details are required to register and attend the Event, your consent to receive marketing communications may be optional and not a condition of participation.
Badge Scanning
When entering an Event and attending sessions, seminars, or activities managed by SailPoint, you may be asked to scan your badge. If you agree to have your badge scanned by SailPoint, you are consenting to allow SailPoint to send you marketing communications and share your contact data with Event exhibitors or sponsors for their own marketing purposes.
Additionally, you may be asked to scan your badge when visiting exhibitor or sponsor booths for the purpose of conducting business and communications regarding their own products or services. If you agree to have your badge scanned by an exhibitor or sponsor, you will be subject to the privacy policies of the applicable exhibitor or sponsor, and you are consenting to allow the exhibitor or sponsor to send you marketing communications and share your contact data with SailPoint.
Please note that badge scanning at Events by SailPoint or exhibitors/sponsors is entirely OPTIONAL. We do not require attendees to scan their badges to participate in sessions, seminars, access event activities, or visit booths. Our staff will never turn anyone away for choosing not to scan, and we encourage all participants to make that choice freely. To reinforce this, we will also provide you with clear signage near the registration desk and expo hall indicating that badge scanning is optional.
Cookies and Similar Tracking Technologies
When you use an Event Website or Event registration platform, cookies and similar tracking technologies (collectively, “Cookies”) may be placed on your device as part of the operation of the registration platform.
Details regarding Event-specific cookies or platforms may be provided on the Event Website, if applicable.
The Event Website may use other cookies in accordance with our Privacy Statement and Cookie Notice, which provides additional information about the types of cookies we use, how we use them, and your rights to opt out of certain types of cookies. You can manage your cookie preferences through the “Cookie Settings” section available on the Cookie Notice page.
International Data Transfers
Your personal information may be transferred to, and processed in, countries other than the country in which you are a resident. These countries may have data protection laws that are different to the laws of your country (and, in some cases, may not be as protective).
Specifically, our website servers are located in the United States, and our employees, third party service providers, and partners operate around the world. This means that when we collect your personal information, it may be processed in any of these countries.
Where your personal information is transferred outside of the European Economic Area, the United Kingdom, or Switzerland, we have implemented appropriate safeguards to protect your personal information, including the use of Standard Contractual Clauses approved by the European Commission or other transfer mechanisms recognized under applicable data protection laws. Where applicable, we may also rely on an adequacy decision, the EU-U.S. Data Privacy Framework (or its UK or Swiss extensions), or your explicit consent as a basis for such transfers. For transfers necessary for the performance of the contract between you and SailPoint (such as your registration and participation in the Event), we rely on contractual necessity as a legal basis where permitted under applicable law.
Data Retention
We retain the personal information we collect from you only to the extent we have a valid legal basis to do so. This may include retaining your information as necessary to perform our contractual obligations to you, such as managing your registration and participation in the Event; where we have a legitimate business purpose, such as improving future event experiences or maintaining operational records; where you have provided your consent, for example, to receive marketing communications or to share your contact details with sponsors or exhibitors; and where we are required to comply with legal obligations, including tax, accounting, or regulatory requirements.
When we have no ongoing legal basis to retain your personal information, we will either delete or anonymize it or, if this is not possible (for example, because your personal information has been stored in backup archives), we will securely store your personal information and isolate it from any further processing until deletion is possible.
Your Data Subject Rights
You may have the following data subject rights:
- Access, correct, update, or delete your personal information.
- Object to processing of your personal information, ask us to restrict processing of your personal information or request portability of your personal information.
- Withdraw your consent to our collection and processing of your personal information at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.
- Opt-out of marketing communications we send you at any time.
You can exercise any of these rights by contacting us at privacy@sailpoint.com or submitting a request through the Data Subject Request Webform. Additionally, you can exercise the right to opt-out of marketing communications using the Marketing Communications Preference Center or by clicking on the “unsubscribe” or “opt-out” link in the marketing e-mails we send you.
You have the right to file a complaint with a data protection authority about our collection and use of your personal information. For more information, please contact your local data protection authority.
Exhibitors and Sponsors
Upon receiving your consent or where permissible without consent under your local data protection laws, SailPoint may share your contact data with exhibitors and sponsors of the Event. You will then be subject to the communications and privacy policies of the applicable exhibitors or sponsors, and you must contact those exhibitors or sponsors directly in connection with any opt-out or data access, rectification, or deletion requests that may be available in your state or country of residence.
Updates to this Privacy Notice
We may update this Privacy Notice from time to time in response to changing legal, technical, or business developments. When we update our Privacy Notice, we will take appropriate measures to inform you, consistently with the significance of the changes we make. We will obtain your consent to any material Privacy Notice changes if and where this is required by applicable data protection laws.
